A Quality Inspector's 7-Point Checklist for Hunter Douglas Roller Shades Fabric Orders

I'm a quality and compliance manager at a custom window coverings manufacturer. I review every order before it reaches customers—roughly 350 items a month. In 2024, I rejected 14% of first deliveries because the spec didn't match what the customer actually ordered. That number should be zero, but it isn't. Most of those problems were avoidable.

The vendor failure in March 2023 changed how I think about fabric inspection. We had approved a green satin fabric for a drapery line, but the roller shade version came in with a completely different sheen. Same color code, different substrate, obvious mismatch. It cost us a $22,000 redo and delayed the project launch. Since then, every contract includes a physical sample check and a written spec sign-off.

This checklist is for anyone specifying, ordering, or receiving Hunter Douglas roller shades fabric in a made-to-order project. It isn't a replacement for the official documentation on the Hunter Douglas website. It's the practical verification I run before anything goes out.

I didn't build this checklist overnight. My first version was a 40-item spreadsheet. It was accurate but impossible to use on a busy finishing table. This 7-point version is the minimum that catches the expensive problems. I use it for every order, even if the order is a sample.

1. Start with the written spec, not the photo

Open the order confirmation and compare it against the exact fabric SKU and construction number on the official Hunter Douglas website. You'd be surprised how often someone selects a drapery fabric code when they meant to order the matching roller shade fabric code. A photo won't tell you the light filtration rating, the roll direction, or the control side. The hunter-douglas spec sheets include all of that, and the written spec is the only thing you can measure against.

A spec mismatch is the most common reject reason in our shop. In Q1 2024, 8 of 44 rejects came down to the wrong SKU or the wrong control direction. None of those would have made it to the customer if someone had read the line item out loud.

2. Check the dye lot and roll tag

Fabric is dyed in batches. Even within the same SKU, a roll from a different dye lot can shift. I check the roll ticket against the contract before I unfold a single panel. For brand-critical colors, I use a spectrophotometer and compare it to the approved sample. Per Pantone guidelines, the industry standard color tolerance is Delta E under 2. If your eye can detect a difference on the job site, it's probably outside that tolerance.

This is where 'same color, different lot' surprises show up. We once had a project with two identical shades side by side, and one had 2% more opacity because the fabric came from a different roll. The customer didn't read the spec, but they noticed the difference in light through the shade.

3. Inspect the fabric face under directional light

Lay the shade on a clean, flat surface and run a low-angle light across the face. You're looking for snags, thin spots, shading bands, or a difference in sheen. With a satin weave, sheen direction is critical. I once had a green satin fabric that looked correct under shop lights but showed visible horizontal banding once it was rolled up because the fabric had been cut against the grain on one panel. That's the kind of detail everyone misses until it's installed.

Take a photo with your phone from above. If you see a line that isn't supposed to be there, don't try to convince yourself it will stretch out. It won't.

4. Measure every corner

Never measure just one side. A roller shade can be square at the top and off by 3/16 inch at the bottom. Check both widths, both heights, and the diagonal when you can. Verify the side seams and hem allowances. If two shades are going on the same window, they need to match within 1/8 inch, not just 'close enough'.

I also check the face side versus the back side. With a lined shade, a misaligned lining can cause a visible bulge near the hem. You won't catch that with a tape measure alone.

5. Test the hardware and fabric tracking

You can't fully test a motorized shade without installing it, but you can check the basics: the roller spins freely, the chain or cord travels smoothly, and the fabric wraps evenly without edge walk. If the fabric was taped at a slight angle when it was attached to the roller, it will track worse over time. Don't assume that's an installer issue. Catch it here, not on the job site.

Mechanism checks catch maybe 5% of our issues. In 2024, the most common one was a motor coupler that was installed too loose. The shade worked on the bench, but the customer would have heard a rattle within a month.

6. Verify packaging and care documentation

Every order should include the care code and any cleaning limitations. This is the part people skip. A performance fabric has different care instructions than a decorative satin finish. The official Hunter Douglas website lists care guidelines by fabric line, so there's no excuse for guessing.

If a customer later searches 'how to clean eyeglass microfiber cloth' and follows the same damp-cloth method on a roller shade, that's not going to end well. Different materials need different care. We once had a housekeeper wipe a shade with a damp microfiber cloth and leave a permanent tide mark. The care code would have prevented it.

If you're shipping a shade with a metal valance, include the valance care instructions too. It sounds obvious, but it's the first document that gets lost.

7. Don't forget the non-fabric accessories

Brackets, valances, clamps, motor covers, and remotes all need the same spec check. If a project includes a vertical paper towel holder in the same restroom or kitchen, apply the same logic. Check the finish, check the mounting hardware, and confirm the actual dimensions. It's not a window covering, but the principle is identical: a 'close enough' bracket creates the same callback as a mistinted fabric.

Accessories are the least glamorous part of the order, which is why they get ignored. I keep a separate bin for loose hardware on every work order. If the hardware isn't in the bin, the order doesn't ship.

Where most orders go wrong

The clearest pattern I see is people using a photo as the spec. A fabric named 'Green Satin' can have several constructions, and not every construction rolls the same way. The second pattern is skipping the physical sample because the color looked right on a monitor. Monitors are not a color standard. The third pattern is waiting until installation to check details. If you catch a problem in the shop, it's a correction. On the job site, it's a callback.

In my opinion, the extra five minutes per shade is worth it. Five minutes of verification beats five days of correction, especially when you're the one signing off.

A note on where this applies: this checklist worked for us because our operation is mid-sized and made-to-order. If you're handling high-volume hospitality projects with multiple installation crews, you'll need pre-installation site checks and probably a third-party quality audit. I can only speak to my side of the process: fabric finishing, assembly, and final inspection. Your mileage may vary if your supply chain includes overseas manufacturing or tight seasonal demand spikes.
